Checklist for recruitment applications for research assistants (WiMi) and staff in technical, service and administrativ roles (MTSV)

The following documents are required for all recruitment applications:

  • Recruitment application (form), fully completed and signed
  • Selection statement
    • All applicants must be acknowledged in the selection statement. A table showing the formal requirements of the position may be included to supplement the statement.
  • Declaration form for determining the salary grade (form), fully completed and signed
    • The declaration form for determining the salary grade ist also required if the person to be appointed is already employed at the FU. 
  • Application from the successful candidate, including proof of fulfilment of the recruitment requirements (e.g. university degree, PhD, provisional confirmation from the Examination Office)
    • Documents from other applicants do not need to be submitted, but may be requested on an individual basis; they must therefor be retained until the end of the recruitment process; subsequently, after six months at the latest, the application documents must be destroyed in accordance with the DSGVO.
  • Job advertisement text (copy from the FU job board/website)
  • Standardised and simultaneous rejection letters to unsuccessful candidates (sample rejection letter)
    • A sample copy marked 'identical letter to all unsuccessful candidates' is sufficient.
  • Involvement of staff representative bodies (decentralised women's representatives, Dahlem Staff Council, and, where applicable, the representative body for persons with disabilities)
    • It is sufficient to mention the invitation in the selection statement and on the application form. The invitation does not need to be enclosed with the documents. The representative body for persons with disabilities must be invites in the case of a disability.
  • Application for exemption from the obligation to advertise a vacancy in accordance with §94 of the Berlin Higher Education Act
    • The application may be combined with the justification for the recruitment
  • Declaration of intent from the prospective/intended appointee
    • Please ensure you enclose the personal documents (CV and certificates) of the person to be appointed, including proof of fulfilment of the appointment requirements (e.g. university degree, PhD, provisional confirmation from the Examination Office).
  • For all recruitments without a vacancy notice, the department administration will draw up a job description. If there are any queries, the department administration will contact the applicants. 
  • Statement and justification regarding the opportunity for academic qualification within the framework of employment as a research assistant (form)
  • Declaration regarding doctoral study periods and employment relationships (form)
  • Additional justification if the appointment is not for four years
    • May form part of the justification for the appointment.
  • Submission of work and residence permits (copies)
    • If a residence permit is required, please submit any existing old residence permits with the application for employment, or state separately that a new residence permit must be or will be applied for.
